This session centers on how institutions can design ethical, sustainable, and FAIR-aligned stewardship policies and repository workflows. It emphasizes governance, documentation, team roles, and readiness for certifications like CoreTrustSeal.

2. Who is this session designed for?expand collapse

Early-career data stewards, repository managers, and institutional RDM support staff who are actively involved (or plan to be involved) in setting up or maintaining repository governance, policies, and ethical oversight.

3. Why is this session different from other metadata or technical deposit trainings?expand collapse

Unlike sessions that focus on metadata curation or the act of publishing, this one explores the policy scaffolding that makes responsible, long-term stewardship possible such as institutional ethics frameworks, privacy strategies, and documentation structures.

4. What kind of real-world cases will we explore?expand collapse

You will work in groups to solve realistic dilemmas involving sensitive data, conflicting licenses, or ambiguous data provenance. These cases simulate institutional tensions and prompt collaborative policy solutions.

5.What will I learn about institutional roles and governance?expand collapse

You’ll understand how to define clear responsibilities among repository actors (e.g., depositors, curators, admins), how to manage permissions, and how to document these roles transparently within your institutional workflows.

6. Will I be introduced to CoreTrustSeal requirements?expand collapse

Yes! the session includes a walkthrough of documentation practices that align with CoreTrustSeal, including privacy policies, deposit agreements, and data review checklists.

7. What outputs or skills can I expect to walk away with?expand collapse

Familiarity with key repository documents Insight into balancing legal risk, openness, and institutional values Experience in designing governance solutions through practical scenarios Peer-reviewed ideas to bring back to your own institution. Policies and ethical dilemmas around stewardship will be highlighted.

8. Will there be any hands-on or group work?expand collapse

Yes , participants will engage in breakout exercises where small groups tackle ethical dilemmas, draft interventions, and share solutions with the plenary. Miro or Padlet will be used for collaborative input.

9. Is there any follow-up support or mentoring after this session?expand collapse

Yes, mentors from the session will be available during Day 4’s speed-mentoring sessions to guide participants in reflecting on how to apply what they’ve learned and incorporate it into their daily assignments.

10. How can I attend this session?expand collapse

This is a closed session with a cap of 30 participants. Priority is given to early-career data stewards whose bios align with the session focus. If selected, you will receive confirmation and prep materials in advance.

11:00–11:15 — Setting the Scene

Kick off the session with an interactive introduction to the governance side of FAIR stewardship. We’ll explore what makes repository workflows ethical, sustainable, and certifiable. The session will be grounded in real examples from senior stewards at the Higher Education and Science IT Shared Service Centre in Riga, Latvia, offering authentic insight into national-level infrastructure and institutional policy practice.

 11:15–11:35 — Policy in Practice

Through realistic case scenarios, participants will explore common challenges such as handling sensitive data, resolving license conflicts, and clarifying ambiguous data provenance. Drawing from VPC's shared science infrastructure, the session will demonstrate how policy scaffolding supports effective long-term stewardship.

11:35–11:50 — CoreTrustSeal & Documentation

Discover what it takes to align your repository workflows with CoreTrustSeal certification. We'll walk through real documentation examples such as deposit agreements, privacy policies, and metadata quality checks, highlighting how teams like the one in VPC& Latvia University build credibility and trust.

11:50–12:15 — Collaborate & Reflect

Participants will break into small groups to propose policy interventions in response to stewardship dilemmas, using tools like Miro or Padlet. You’ll then share your insights and reflect with peers, and our mentors from VPC Service Centre, on how to adapt and apply these solutions in your own institutional contexts.

He currently supports the European-funded initiative to strengthen data stewardship in Latvia, contributing to the development of the national DataverseLV repository, including its documentation and researcher-facing tools.
